Depok, July 17, 2026 – The Faculty of Mathematics and Natural Sciences, Universitas Indonesia (FMIPA UI), has begun a series of assistance sessions Surveillance ISO 9001:2015 on Kick Off Pendampingan Surveillance ISO 9001:2015 held at the Pertamina Multidisciplinary Research Laboratory Building, FMIPA UI, on Monday (13/7). This activity aims to strengthen the readiness of all work units in facing the external audit, ensure that the implementation of the ISO 9001:2015 Quality Management System is carried out in accordance with the standards, and encourage improvements in service quality, governance, and a culture of continuous improvement within FMIPA UI.
The activity featured speakers Prof. Dr. Ir. Rahmat Nurcahyo, M.Eng.Sc., and Dr. Muhammad Habiburrahman, S.T., M.T., who are practitioners of ISO 9001 and ISO 21001 within educational organizations. It was attended by faculty leaders, heads of units, managers, and staff from various work units at FMIPA UI. This assistance session served as an initial step to align the understanding of all units regarding the stages of surveillance audit, quality document review, and the fulfillment of implementation (evidence) which will become the subject of assessment by the external auditors.
Opening the activity, Vice Dean for Resources, Venture, and General Administration of FMIPA UI, Prof. Dr. Ivandini Tribidasari Anggraningrum, S.Si., M.Si., stated that the assistance session surveillance ISO 9001:2015 serves as a momentum for all work units to align documents, strengthen governance, and improve service quality within the faculty. She hopes that all units can utilize the assistance process as a means to strengthen a quality culture and enhance readiness for the external audit.
“We hope that all units can utilize this assistance program to ensure that every process is carried out in accordance with the standards, so that the implementation of the quality management system at FMIPA UI continues to improve and remain sustainable,” said Prof. Ivandini.
Meanwhile, ISO consultant Prof. Rahmat explained that surveillance audit aims to ensure that the quality management system continues to be implemented consistently after certification is obtained. According to him, the audit is not intended to identify faults, but rather to encourage the organization to conduct continuous evaluation and improvement.
“ISO is not intended to burden or intimidate. The main principle is continuous improvement. Audits are conducted to identify opportunities for improvement so that systems that are already performing well can continue to be enhanced,” explained Prof. Rahmat.
During the assistance session, it was explained that ISO 9001:2015 certification is closely linked to strengthening integrity zones, risk management, study program accreditation, and enhancing the organization’s reputation. In addition, student satisfaction is determined not only by the quality of learning but also by the quality of administrative services provided by both the study programs and the faculty.
The assistance session also covered the ISO 9001:2015 certification cycle, beginning with initial audit, surveillance annual, up to the recertification process. This year, FMIPA UI is entering the stage surveillance which is scheduled to take place from August 24 to 28, 2026.
The meeting also discussed the results of the document readiness evaluation ahead of the audit. Several findings indicated that there were still discrepancies between the Standard Operating Procedure (SOP) documents available in the online system and their latest revised versions. In addition, several units still need to complete SOPs for certain work processes, provide (evidence), of activity implementation, and update their risk register to reflect current conditions.
To ensure the readiness of all work units, FMIPA UI has developed a series of preparatory stages leading up to the external audit. According to the plan, the process will begin with review the review and revision of ISO documents from July 13–22, followed by the approval of the revised documents on July 24–25, internal auditor training on July 27–31, an internal audit on August 3–7, follow-up actions on the audit findings on August 10–14, a management review meeting on August 18–20, and a final review of documents and implementation evidence on August 21. The external audit Surveillance ISO 9001:2015 external audit is subsequently scheduled to take place from August 24–28, 2026.
In addition to updating the documentation, each work unit was also asked to review its quality objectives, performance indicators, risks and opportunities, and to complete quality records such as customer satisfaction survey results, follow-up actions on complaints, and work program achievements. The document review was carried out to align with the organizational structure changes of FMIPA UI for the 2025–2029 period, Universitas Indonesia’s latest business processes, and the new Standard Operating Procedure (SOP) format implemented across the university.
The discussion also highlighted the need to develop new Standard Operating Procedures (SOPs) for several processes that have not yet been formally documented, including crisis management, such as handling emerging issues or viral media coverage. This step was considered important to ensure that all service processes have clear operational standards that can serve as references for both implementation and future audits.
Through this assistance program, FMIPA UI continues to strengthen the implementation of the ISO 9001:2015 Quality Management System to support improvements in governance and service quality. This initiative is expected to contribute to the successful completion of the external audit while fostering a culture of continuous improvement across all work units.
