The Archives Unit of the Faculty of Mathematics and Natural Sciences, University of Indonesia (FMIPA UI) held a mentoring activity in simulating the use of the Andieni application for leaders in the FMIPA UI environment on Wednesday, April 27, 2022 at the Multidisciplinary Building, 3rd Floor, UI Campus, Depok.
Andieni – The University of Indonesia Electronic Official Manuscript Application is an application created with the aim of facilitating the creation of official manuscripts (official notes and official letters). Utilizing information technology from the drafting stage, approval by superiors, validation with digital signatures, and distribution to the manuscript destination electronically. Andieni is able to present a real solution for improving UI’s performance and productivity in correspondence administration.
Dean of FMIPA UI Dede Djuhana, Ph.D. opened the event. In his speech, he said, “The use of the Andieni application is currently very important along with the change in work culture from printed to electronic form. So that we, in the FMIPA UI environment, also need to make adjustments in the management of this official manuscript, in order to optimize and accelerate our performance in creating official manuscripts in accordance with the University of Indonesia Official Manuscript Format”.
Andieni uses digital signature technology or also called certified electronic signature (eSign). Digital documents that have been embedded with electronic certificates will be encrypted so that any form of manipulation of document content will be traced by stating that the document has been changed since it was last signed. The eSign used in Andieni is the result of a partnership between UI and the Electronic Certification Center (BSrE).
The Electronic Certification Center is a technical implementing unit in the National Cyber and Crypto Agency (formerly the National Crypto Agency) which has the task of providing electronic certificate issuance and management services in Indonesia for government agencies.
The Coordinator of the FMIPA UI Archives Unit, Salman Bustamam, AM.d. directly delivered the simulation materials to the participants. The materials include simulation of the Manuscript Creation menu, Simulation of the Upload eSign menu, and Utilization of the Manuscript Page menu (means of recording letters, distributing letters to other units).
“If all of our (Official Manuscripts) can switch completely to the Andieni application, then our administrative work process will also be faster and more effective,” said Salman.
Not only that, the implementation of the Andieni application is also expected to encourage all work units to minimize the use of paper in the FMIPA UI environment and support policies. Sustainable Office Environment di Lingkungan UI.
